A business owner I’ll call Mark had just wrapped up one of his strongest months of the year.
Sales were good. The schedule was full. The business was growing. He had even brought on another employee because things were moving in the right direction.
Then payday arrived.
One customer still hadn’t paid a large invoice. An insurance payment came out of the account. A vendor bill was due. And suddenly Mark was looking at his bank balance wondering how such a good month could feel so tight.
The issue was timing.
That’s the part of cash flow that can be easy to miss. Profit tells you whether the business is making money. Cash flow tells you whether the money is available when you need it.
And for many small businesses, those two things don’t always move together.
A customer may pay 30 or 60 days after the work is finished, while payroll is due every other Friday. Inventory may be selling well, but the business had to buy it before any of that revenue came in. Growth may mean hiring, adding equipment, expanding into a new space or investing more heavily in marketing before the additional revenue has caught up.
That’s why a healthy-looking month on paper can still create pressure in the bank account.
The Bank Balance Is Only Part of the Story
When we look at cash flow more closely, we’re not just asking how much money is in the bank today. We’re looking for patterns.
When does cash tend to dip? Are customer payments regularly arriving after major expenses are due? Is growth requiring more cash up front than expected? Is a large percentage of revenue tied to one or two customers? Are there certain weeks or months when the business is consistently more vulnerable?
Those patterns can tell us a great deal about how a business is really operating.
And once you can see them, you have more time to make decisions.
You may decide to adjust payment terms, build a little more cushion before a seasonal slowdown, change the timing of a major purchase or simply keep a closer eye on a period that tends to create pressure.
The point isn’t to predict every surprise. It’s to stop being surprised by the things that are already visible in the numbers.
